How an office move runs

Six weeks of planning for one quiet weekend.

An office move that goes badly almost always went badly weeks before the truck arrived. This is the sequence we work to.

  1. Six weeks out

    Walkthrough and written move plan

We walk both spaces with you — the one you're leaving and the one you're going to. Headcount, workstation types, server room, what's being replaced instead of moved, who signs off. You get the plan in writing, with the cost in it.

  2. Four weeks out

    Buildings are engaged

Your coordinator contacts property management at both ends: certificate of insurance issued, freight elevator and dock windows reserved, after-hours access and security arranged. This is the step that most often delays a move when it's left late.

  3. Two weeks out

Crates, labels and the floor plan

Crates, bins and supplies are delivered to your office. We issue the destination floor plan with every room and workstation numbered, and the color code that matches it.

  4. The week of

Your team packs their own desks

Staff pack personal items and desk contents into their labeled crate — usually an hour of their time. Anything specialist, we pack. Furniture and equipment being retired gets separated now, not on move night.

  5. Friday evening

    Disconnect and load

Once your last person leaves, we disconnect and label IT, break down workstations, protect the common areas and load. The old space is swept and left ready for handback.

  6. Saturday

    Transport, build and place

Furniture is rebuilt and set to the floor plan, crates land at the numbered desk they belong to, and equipment goes back where the plan says it goes.

  7. Sunday

Reconnect and walk the punch list

Monitors, phones and peripherals reconnected, debris and empty crates removed, and a walkthrough with you so anything that isn't right is fixed before Monday rather than after it.

  8. Monday

Your team sits down and works

That's the whole objective. Crates get collected later in the week once everyone has unpacked.

Building requirements

The part nobody budgets time for.

Property management at both ends has conditions, and they are not negotiable on the night. We handle these as a matter of course — but they are the reason an office move needs weeks, not days.

Certificate of insurance

Most buildings won't release an elevator without a COI naming them. We issue it, and we're used to how Bay Area building managers want it worded.

Freight elevator booking

One elevator, one tenant at a time, in blocks. If your building is full of tenants moving at month end, the slot you want goes early.

Dock and street access

Loading dock windows, height limits, and whether the truck can legally sit where it needs to sit. In San Francisco and downtown Oakland this is rarely simple.

Protecting common areas

Floor protection down, pads on door frames, corner guards in the lift lobby. Damage to a shared corridor comes out of someone's deposit.

After-hours access and security

Who lets the crew in at nine on a Friday night, who stays, and what the building needs on a list in advance. Arranged before the date is confirmed.

Handback condition

Your old lease almost certainly specifies the state you leave the space in. We clear, sweep and remove debris so that conversation is short.

If you don't yet know what your buildings require, that's normal — finding out is part of what your coordinator does in the first two weeks.

How nothing gets lost

Two systems doing the quiet work.

Labeling

Everything has an address before it moves

A box marked "Finance" is a box somebody has to open and think about. A box marked with a desk number isn't.

  1. The destination floor plan is numbered — every room, every workstation.
  2. Each department gets a color; each seat gets a number within it.
  3. Crates, chairs, monitors and furniture are tagged to that number.
  4. Matching signage goes up in the new space before the first crate arrives.
  5. Crews place to the tag, so items land at the desk rather than in a pile.
Technology

Logged off Friday, logged on Monday

We handle the physical side of IT and work to whoever owns the logical side — your internal team or your managed service provider.

  1. Cables are photographed and labeled at the workstation before anything is unplugged.
  2. Monitors, docks, phones and peripherals are bagged per seat, not pooled.
  3. Equipment travels padded and upright, not loose in a crate.
  4. Server and network gear is scheduled separately, with your IT people present.
  5. Everything is reconnected at the destination and left powered and tested.
Beyond desks and chairs

The things that need their own plan.

Most of an office is straightforward. These are the parts that get a separate line in the move plan, because treating them like furniture is how moves go wrong.

Files and records

Records you are required to retain move in sealed, sequenced containers with a documented count at both ends — particularly for legal, medical and accounting practices.

Server rooms and network gear

Scheduled as its own event, with your IT team or provider on site, rather than folded into the general load.

Practice and lab equipment

Medical, dental, veterinary and lab fit-outs contain equipment with real handling requirements. We plan those pieces individually and crate what needs crating.

High-value and specialty items

Artwork, safes, reception pieces and anything in the lobby that a client will notice if it's scratched. Custom crating where it's warranted.

Surplus and decommission

Not everything is coming. Furniture that isn't making the trip is separated during planning and held in our Hayward warehouse or taken out of the building.

Phased and partial moves

Floor by floor, team by team, or a long overlap between leases. Storage between phases means you don't need both spaces fully usable at once.

Relocating your people

When a move brings staff with it, we handle their household relocations too — the same company, coordinated against the same date.

Out-of-area branches

Moving an office to Sacramento, or a headquarters out of state, runs on the Wheaton World Wide Moving network with the same coordinator here in Hayward.

Who does what

So there's no gap on Friday night.

Office moves fail in the seams. Here is the split we work to, agreed in writing before the date.
